Thinking Matters is a ministry that encourages New Zealand Christians to explore what they believe and why they believe it, so they can engage culture and present the Christian faith with gentleness and respect.

Thinking Matters hosts many meetings, conferences, and a young adult camp throughout the year. We’re looking for a skilled, part-time events coordinator to join our forward thinking, vibrant team.

The ideal candidate will have experience in event planning and implementation, and the ability to keep often strict marketing deadlines. The successful candidate will work closely with regional directors to organise their local events. They will work closely with the marketing coordinator to plan the yearly event schedule and marketing strategy. The candidate will have the ability to manage communications with attendees, speakers, Church Leaders, the Thinking Matters team, and other ministry stakeholders.

This role also involves working the CEO and the Administrative Assistant to ensure all aspects of event planning are kept within budget. Above all, the event coordinator will be comfortable in an exciting leadership role that demands energy, a creative, mission-driven mindset and the ability to build lasting relationships with churches, attendees, presenters, and sponsors.

There may be a requirement to travel outside of Tauranga to oversee some of our events in different centers.

Objectives of this Role
• Oversee the planning and execution of at least six 200-500-person Thinking Matters Conference each year, two School Leavers camps, and a two-week campus tour.
• Uphold the company’s mission and vision with every event.
• Take ownership of all our events and programmes.
• Work within budgets and timelines.
• Ensure compliance with all national and local regulations including Health and Safety requirements specific to each venue.

Responsibilities
• Develop a complete understanding of the requirements for every event.
• Work with the CEO to create a yearly schedule of events and programmes.
• Source and book speakers and create programme schedules.
• Work with the CEO to ensure the events are in alignment with the mission and vision of Thinking Matters regarding content of talks.
• Book presenter travel and accommodation requirements, working with speakers and team on timings and transportation.
• Develop content for event materials such and programmes and schedule lanyards and work with graphic designer to produce these.
• Prepare MC notes that are location specific.
• Work with Regional Directors and the host venue to recruit volunteers as needed across all functions of an event (ex: registration desk, setup, catering, audio/visual.)
• Handle other day-to-day administration such as monitoring our sponsors, resource desk administration, etc.

Required Skills and Qualifications
• Experience in event planning or event coordination.
• Proven track record of creative, successful events and problem-solving.
• Experience working with colleagues in graphic design, marketing, and communications.
• Excellent time-management, organizational, communication, negotiating, and multitasking skills.
• Ability to remain calm under pressure and maintain a positive customer-service mindset.

Preferred Skills and Qualifications
• A Qualification in Events Management or similar
• Strong knowledge of PowerPoint, Word, Excel, and Adobe Acrobat (PDF)
• Established relationships with Church Leaders.

Hours: 20 a week
Rate: $25-30/hour depending on experience
Where: Primarily our Tauranga based offices
Requirements: Applicants must reside in New Zealand and have a valid working visa or residency
